A Committee Meeting of the Orkney U3A was held this afternoon at Linden ,Dounby.Among items discussed were
1.Financial and Membership.
Currently we have 84 members and those eleven, who have not renewed their Membership, have until the End of June to do so or their membership will lapse .Emails are being sent to those who have not renewed to remind them .
2.Guidelines on the use of Cars on Isles trips.
We were asked to come up with a policy to set rules after a member had been left out of pocket by late cancellations on group trips to the Isles .
We decided that 48 hours notice of cancellation direct to the organizer of the trip ,not just by email, but by phone, was the minimum required time for cancellation .After that, the person cancelling would be expected to pay the full share of any costs for the trip ,if they did not go .This is to give the organizer time to cancel car bookings etc which over the weekend require 48 hours notice.
2.Taking Guests on U3A Outings or attending Group Meetings.
We decided that this was acceptable as long as the Group Leader was in agreement and that the Chairman ,Secretary, or Treasurer had been informed .This was to make sure that non Members were not attending on a regular basis with out paying a subscription. A maximum attendance of 2 meetings would be free after which a £10 membership would be asked for.
3.Use of Kirkwall Grammar School Hostel for visiting U3A members
.
Ken Hambly is going to look into this and see what is involved ,costs etc with a view to publicising it to the greater Scottish membership.
4.Visit of Graham Clarke, Trustee of U3A in Scotland accompanied by Lyn Dyke (Chair ,Easter Ross and Sutherland U3A),Myrtle Gillies (Chair U3A in Caithness) and Linda Clark ,(Vice Chair ,Inverness U3A).
They are coming across on 19th June by boat and meeting Orkney U3A Committee in the Library at approx. 11am.We will be discussing Communication Difficulties , Regional Networking and the current state of Scottish U3A.If you have anything you think the Committee should bring up on your behalf ,please put it in writing and submit it to Hilary and myself. Lunch will then be taken probably in the Library .
In the afternoon ,all four of the representatives will be at the General Meeting .Graham Clark will give a short address to the meeting followed by Peter Slater speaking on "Bird Song". Time will be tight as we need to get our guests back to Stromness for the 4.45 boat . If you wish to meet /speak to them, I suggest that you come early to the General Meeting so as to catch them ( or run alongside the car as I drive them back to Stromness !)
5 . Items on the Committee Agenda.
In future, no items will be discussed on the Committee Agenda without written backup ,either as an email or by hand, that can then be sent out with the Minutes .A couple of items were put forward today that required much more detail before consideration and discussion could take place by the Committee.
They will be looked at further at the next Committee Meeting on 23rd July at 2.30 at Lindean, Dounby.
